RMA Policy

Scope & Applicability

This policy applies to customers of ODS OmniSynk Distribution Services and governs returns, warranty claims, core returns, and RMA (Return Material Authorization) procedures for products purchased from ODS. It is intended to provide clear, consistent guidance. Exceptions may apply where specific customer contracts or purchase orders provide otherwise.

Contact for RMA Support

For questions about this policy or to initiate an RMA, contact your ODS customer service representative or email us. Always reference your Sales Invoice number when requesting an RMA.

General RMA Requirements

  • RMA Authorization Required: No return will be accepted without a valid ODS RMA form/number.
  • Invoice Reference: All RMA requests must reference the original Sales Invoice number.
  • Condition & Packaging: Unless otherwise stated, returned items must be in original packaging, unused (if a new part), and include original documentation and traceability paperwork.
  • Prepaid Shipping: Unless specified on the RMA form, returns must be shipped prepaid to the address specified on the RMA. Shipments to other locations are unauthorized and may be refused or subject to fees.
  • International Returns: Non-US customers returning to US locations may be required to include specific data elements on the Airway Bill and Commercial Invoice as specified on the RMA form. Customers are responsible for import duties, taxes and fees.
  • Unauthorized Returns: Returns without an RMA or sent to an incorrect address will be treated as unauthorized returns and are subject to fees (see Fees & Charges).

New Parts

RMA & Invoice Required: Return of any new part requires an ODS RMA form and reference to the Sales Invoice number.

Non-Returnable Items:

The following are not eligible for return as new parts:

  • Off-contract / Non-forecasted parts
  • Parts installed on aircraft
  • Chemical/specialty materials (including HazMat/Dangerous Goods)
  • Shelf-life items
  • Electrical components where specified by supplier
  • Drop-ship / Special-order parts
  • Excess or obsolete parts
  • Parts lacking original packaging or traceability paperwork

Return Window: New parts with no quality issues must be returned within 45 days from invoice date unless otherwise specified.

Restocking Fee: Authorized returns that do not meet a quality or warranty issue are subject to a 15% restocking/processing fee (minimum $50), unless otherwise agreed.

8130 & Airworthiness Documentation: Parts originally shipped with regulatory documentation (e.g., 8130 tags) must include the same documentation with the return. Missing regulatory documentation may result in refusal or additional charges.

Warranty & Defective Parts

Documentation Required:

Warranty or manufacturer-return claims must include:

  • ODS RMA form
  • ODS Warranty Administration Summary (if applicable)
  • Any applicable manufacturer return form
  • Sales Invoice #
  • Failure report and, where applicable, flight time or usage records

Shipping: Warranty returns must be shipped prepaid and in undamaged condition to the address on the RMA form.

Non-US Customers: May be required to provide specific Airway Bill & Commercial Invoice data elements; incomplete documentation may cause return refusal.

Time Limits & Exceptions: Returns requested for quality issues with no manufacturer warranty will generally not be considered beyond 12 months from shipment date unless the vendor issues a recall. Chemical/specialty materials and items without traceability paperwork are excluded.

Cores (When Applicable)

Core RMA & Documentation: Core returns require an ODS Core RMA form, relevant core invoice number, and a failure/condition report.

Return Timing: Cores must be returned within 30 days of invoice to avoid additional charges. If a core invoice is paid to avoid late fees, customers typically have up to 90 days from invoice to return the core for credit on the paid invoice, unless otherwise specified.

Condition Requirements: Cores must match the like part number and be in "as removed" condition. Disassembled, missing components, damaged, or beyond economical repair cores may be billed for additional material and labor.

Bill-backs: Core bill-backs (credits/charges) may take up to 45 days after receipt to process, unless specified otherwise.

Checklist: All returned cores should include the ODS core checklist completed as required.

Used Serviceable Materials (USM)

RMA & Documentation: USM returns require an RMA, Sales Invoice reference and a failure report where applicable.

Non-Returnable USM:

The following USM items are not acceptable for return:

  • HazMat/Dangerous Goods
  • Parts installed on aircraft
  • Unused parts not in original packaging or used parts without traceability
  • Shelf-life items

Return Window & Condition: USM parts with no quality issues must be returned within 45 days of invoice and must be in original, sellable condition with original documentation (including 8130 where applicable). Missing 8130 documentation may incur additional fees.

Restocking Fee: Authorized USM returns that do not meet a quality issue are subject to a 15% restocking/processing fee (minimum $50) unless otherwise determined by ODS.

Fees & Charges for Unauthorized Returns

For unauthorized returns or parts returned without an RMA number, in addition to any other remedies ODS may have, the customer shall be charged:

1. 100% part restocking fee or $350, whichever is higher; and

2. 25% administrative handling fee; and

3. All costs and expenses associated with safe handling, storage, or disposal, including for Hazardous Materials and Dangerous Goods.

Import Duties, Taxes & International Requirements

Customers are responsible for all import duties, taxes, and fees associated with returns to other jurisdictions. Non-US customers returning to US locations must comply with required Airway Bill and Commercial Invoice data elements as specified on the RMA. Returns with incomplete information may be rejected and returned to the customer at their freight account.

Inspection, Determination & Credits

Quality Determination: ODS or the manufacturer will inspect returned items to determine eligibility for credit, repair, replacement or rejection.

Credit Issuance: Credits for authorized returns will be issued after inspection and processing, subject to any restocking fees or deductions for damage, missing documentation, or non-conformance.

Processing Time: Return processing times vary by product and vendor; ODS will endeavor to process returns and core bill-backs promptly and will keep customers informed of status.

Safety & Handling

Customers must not return hazardous, regulated, or improperly packaged materials without prior authorization and appropriate documentation. ODS reserves the right to refuse unsafe or non-compliant shipments.

Policy Changes & Exceptions

This Customer Return & RMA Policy is a guideline and may be modified at any time without prior notice. It does not constitute a contract. Exceptions may be made based on customer agreements, purchase orders, or manufacturer's warranty terms.
